Guidelines for presenters of Moderated E-Posters and Visual Abstracts

Please find below important information regarding your presentations, technical specifications, relevant tips and guidelines to follow.

For any queries, please contact the Programme Team at programme@worldtobaccocontrol.org.

Technical Specifications

  • E-Posters will not be printed this year but will be featured on the conference mobile app and displayed on digital screens throughout the conference venue. Please do not bring your physical poster to the conference.
  • Format requirements: Your E-Poster must be submitted in PPT, PPTX, PDF format, in portrait orientation only (aspect ratio 9:16), limited to one page, and must not exceed 10MB in size.

Visual Abstracts Only

  • You will have the option to record a short voiceover to compliment your E-Poster (maximum length of your recording will be 2 minutes). This is not mandatory but strongly encouraged to enhance visibility and engagement. Accepted formats: MP3 only. Please upload your file along with your E-Poster in the submission portal.

Moderated E-Posters: Discussion Sessions

  • All poster discussion sessions will be held in the Level 3 Foyer during lunch breaks on the 24 and 25 June. Please note the date and time of your presentation, provided in the email shared by the Programme Team. Should you have not received this email, please contact us at programme@worldtobaccocontrol.org.
  • The presenting author must be present in front of the poster during the session.
  • Presenters will have 3 minutes for presentation, followed by Q&A and discussion at the end of the session. All questions will only be asked after all E-Posters have been presented.
  • Please remain mindful and respectful of time constraints during your presentation.

General Information

  • Please note that the only language acceptable for E-Posters is English.
  • If for any reason you have to cancel your presentation, please notify The Union at least 30 days before the date of presentation at programme@worldtobaccocontrol.org
  • Authors who fail to inform The Union of cancellations or scheduling changes will be removed from the Abstract Book and conference programme.
  • If you are unable to attend the conference, you can delegate one of your co-authors to present.
  • We highly encourage you to use person-first language in your final materials and in your oral presentation or voiceover—please avoid terms such as ‘smoker’, ‘tobacco user’, ‘vaper’, or similar, and instead refer to ‘people who smoke’, ‘people who use tobacco’, etc.
  • Please note that you should not change the title of your presentation but if you have new outcomes or conclusions which were not included in the abstract due to the time constrains (they were not available at the time of the submission), you can include them in your final E-Poster and presentation.

Additional Tips

  • Make sure your E-Poster is clear, well-organized, informative and concise.
  • Be sure to include all necessary information (title, methods, research, literature, etc.)
